Events - QR tickets

Scanning QR tickets at the door automatically checks the tickets and marks participants as 'present'.

Since our ticketing upgrade, Congressus also offers the option of using QR tickets at your events. QR tickets are a convenient way to check tickets and track attendance at your events. You scan the QR ticket at the door with the Congressus ticket scanning app, after which the ticket is checked and the attendance is automatically updated. Super convenient if you want to invoice afterward based on attendance!

Please note:

QR-tickets cost € 0,39 excl. VAT per ticket.
​The first 50 QR codes are free (so you can test them). Congressus invoices the association at the end of the month for the use of the QR-tickets.

Enable QR Tickets

To use QR tickets, navigate to the "Sign up" tab for the event in question. At the very bottom of the page, you'll find the "QR Tickets Beta" heading. Check the "Use QR tickets" box. Participants will automatically receive their QR tickets as an attachment to their confirmation email.

To scan QR tickets, use the Congressus ticket scanning app. The app is available in the App Store and Google Play . Once installed, you can scan the QR code associated with the event to scan your QR tickets. The event's QR code can be found at the bottom of the page in the "Sign up" tab.

Send QR tickets

If you've enabled QR tickets before tickets are sold, they'll be sent automatically after attendees purchase their tickets. However, you can also send QR tickets later if the feature is enabled after ticket sales. Here's how:

Send individually:

  • First, you need to enable QR tickets via 'Login' > 'QR tickets' and check it.

  • Then navigate to 'Orders' or 'Participants'

  • Click on an order or participant

  • Finally, click on the 'Resend notification email & tickets' button

Send in bulk

  • First, you need to enable QR tickets via 'Sign up' > 'QR tickets' and check it.

  • Then click on the 'Email participants' button

  • Select whether you want to email everyone or only certain participants

  • Compose the email

  • Then check the box 'Add tickets as PDF attachment'.

  • The QR codes are part of the normal tickets.

  • Click on 'next step' and then send the mailing.

Scan tickets

Once TicketScan has been activated, you can use it to scan tickets for the event in question.

The app tells you how to scan a ticket. If the ticket is valid and hasn't been used before, the "Welcome" message will appear in green.

If the ticket is not valid, we'll display this in red. You may receive various error messages here, depending on the specific reason why the ticket is not valid.

Scanning tickets for extended periods can drain your battery significantly. This is because your phone's camera is active for extended periods. In that case, we recommend keeping a charger handy.

Track attendance

When a ticket is successfully scanned, we mark the attendance as "present." A ticket for a participant with the "present" status cannot be reused.

You can change attendance in Congressus Manager. If attendance is reset to 'unknown', the QR ticket can be reused.
