Events - Email Participants

You can email participating members and external parties via events. Learn how in this article.

Forgot to ask about dietary requirements? Or would you like to share some information with your event attendees? You can, because you can email attendees from the "Events" section. Besides emailing all attendees at once, you can also send emails based on status and ticket type. This is useful if you sell a lot of different tickets that require specific information.

Email Participants

To email event participants, go to the relevant event and click the "Email Participants" button in the top right corner next to "Add Participant" and "Bulk Actions." You'll then see several options:

  • Status - Here you can choose which status you want to email. This is useful if, for example, you want to reach everyone on the waitlist. If you want to email everyone, you can check all statuses. You can change a participant's status via the "Participants" or "Orders" tab.

  • Attendance - Here you can select who you want to email based on their attendance status. For example, if someone forgot or lost something at your event, you can send an email to all participants who attended. If you use QR tickets, attendance is automatically tracked; otherwise, you'll have to manually adjust the attendees' status afterward.

  • Ticket Types - Here you can select which participants you want to email based on their ticket type. Again, if you want to email everyone you can check all the options.

Composing an email

After selecting the participants you want to email, you can compose your email. If you change your mind later, you can change the recipient settings in the upper right corner of the email; you'll then be taken back to the previous page. When composing, you can choose the sender, the layout, and set a subject line.

You can use several tags in your email. The following tags are available for emails from events:

  • {{ FIRST_NAME }} - Member's first name or full name if an external participant

  • {{ FULL_NAME }} - Full name of the member or external participant

  • {{ NAME }} - Member's first name or full name if an external participant

  • {{ LAST_NAME }} - Member's last name or full name if an external participant

  • {{ SALUTE }} - Member's salutation or blank if an external participant

  • {{ EVENT_END }} - Event end date and time

  • {{ EVENT_LOCATION }} - Event location

  • {{ EVENT_NAME }} - Event name

  • {{ EVENT_START }} - Event start date and time

You can also choose to Add tickets to the email as a PDF attachment using the checkbox at the bottom of the email. Please note that only approved participants will receive the tickets. If you use QR tickets, these will also be included; the QR code is part of the ticket itself. Invoices can also be sent, provided they are available for the event.
