Performing actions based on a list

This article will explain how you can perform certain actions based on list with members.

Lists are a great tool for your member administration, this article will explain how you can use lists and which actions can be done. Do you want to know how you can create and manage a list? Then you can read this article first.

The actions we describe in this article are called bulk-actions, which means that you can perform an action on the entirety of the list.

Groups

Adding a list to a group

With this action you add all the members of a list to an existing group in your administration. You can also add functions and give a start and end date.

In the case you did not indicate a starting date, the starting date of the membership of the member will be used.

It can happen that members in your list are already part of the group you want to add the list to. In that case you can indicate what you want to do with the members at the header "Overwrite"

  • Overwrite existing membership - the group membership of the members who are already members of the selected group will be updated with the data you have indicated. Function, start and end date will be changed.

  • Remain existing membership - the group membership of the members who are already members of the selected group will not be changed. Function, start and end date will not be changed.

  • Remove existing membership - the group membership of the members who are already a member will be deleted. These members will no longer be part of the group after executing the action

Adding lists to a new group

This is action is similar to adding individual members to an existing group, except that in this case you create a new group with the selected members.

Organisations

Adding a list to an organisation

With this action you can add all members in a list to an existing organisation in your administration. You can also indicate the members functions and their start and end date.

When you leave the start date blank, the starting date of the membership of the member will be used for the starting date of the membership for the organisation.

It can happen that members in a list are already part of the organisation that you want to add the list to. In that case you can indicate what you want to do with the members at the header "Overwrite"

  • Overwrite existing membership - the organisation membership of the members who are already members of the selected organisation will be updated with the data you have indicated. Function, start and end date will be changed.

  • Remain existing membership - the organisation membership of the members who are already members of the selected organisation will not be changed. Function, start and end date will not be changed.

Adding lists to a new organisation

This action is divided into two steps: you will be redirected to a screen for adding a new organisation. Thereafter you can use the action "add list to the organisation' to add the member in the list to the organisation.

Member status

Change the member status of the list

With this action you change the member status of all the members in the list. You can also indicate the starting date of the new member status.

The starting date of the new member can be set for the future but it can also be set in the past.


โ€‹Attention: when selecting a date in the past, there is a risk that you will overwrite old the member status or even the starting date of the member's membership.

When your list contains members who have a future member status (that the member status changes in the future) you will be prompted to decide what to do with these members. The field 'edit' has two options:

  • Update future member status - the future member status will be update or completely overwritten with the new member status

  • Do not change the future member status - the members in the list who have a future member status will not be changed

Communication

Send mailing to the members in the list

You can set up a mailing, which will be send to all the members in the list.

Attention: a list disappears automatically after two hours. Make sure you send the mailing within two hours.

Send text to list

You can also create a sms-text message, which will be send to all members in the list.
