Linking Congressus and Exact Online

Synchronise your member administration with Exact Online

This article will explain how you can link your member administration in Congressus with your Exact Online administration. With this link, the changes that are made in your member administration will automatically be changed in your Exact Online administration, this way your relations will always be up-to-date!

This guide will assume that you have already set up your Exact Online account and will use the Dutch terms.

Multiple financial administrations

Do you have multiple financial administrations in Congressus and Exact Online? You can link each financial administration in Congressus to another administration in Exact Online. This does mean you'll need to create a new link for each administration.

Note: Do not connect multiple financial administrations within Congressus to the same administration in Exact Online. This will cause information in Exact Online to be overwritten.

Creating a new connection with Exact Online

Follow the steps below to create a new connection with Exact Online:

Step 1: Register the app in Exact Online

Go to your administration in Exact Online. There, you'll find a link to the Exact App Center in the cockpit under "Marketplace." Follow these steps to prepare Exact Online for a connection with Congressus

  • Go to the Exact App Center ;

  • Click on 'Register API keys' at the top right (see screenshot above) or 'Manage my apps';

  • Click "Register an API key." You'll see the screen below:

  • Enter 'Congressus' as name;

  • Enter the following URL in the Redirect URL field: https://manager.congressus.nl/settings/integrations/exact-online/configs/authorize

  • Agree to the terms and conditions of Exact Online by checking the required boxes;

  • Click on 'Register';

  • You will now see an overview of all the data of the API key you just created;

  • Under the heading "Authorization Information" (see screenshot below), you'll find a Client ID and Client Secret (after clicking "Show"). You'll need this information to connect Congressus Manager. So keep this screen open.

Step 2: Add link in Congressus Manager

We will now continue with creating the connection with Exact Online in Congressus Manager.

Please note: If you have multiple financial administrations in Congressus and you want to synchronize them all with different administrations in Exact Online, you must create a separate connection with Exact Online for each financial administration.

  • Log in to Congressus Manager;

  • Click on 'Add connection' at the top right;

  • Enter the Client ID and Client secret as you created them in step 1 of this manual;

  • Click 'Connect';

  • You'll see that the new connection is still disconnected. Click "Connect" to start the connection process;

  • You will be redirected to an Exact Online page where you will be asked to grant permission. Click 'Allow'.

  • You will be redirected to Congressus Manager. Select the correct financial administration to which you want to link your Exact Online administration.

  • Under the heading 'Synchronization' you can select which member statuses you want to automatically synchronize with Exact Online (see screenshot);

  • Click 'Save';

  • To enable the connection, click "Actions" and then "Enable." From now on, the selected member statuses will be automatically synchronized with Exact Online.

Change, disable or remove a link

Want to change, disable, or remove the integration with Exact Online? In Congressus Manager, go to " Settings > Integrations > Exact Online ." Here you can edit the integration details, or (temporarily) disable or remove the integration via the "Actions" button in the top right corner.
