This functionality is part of our ‘Organizations’ module. ‘Organizations’ is a standard feature of our Enterprise package.
What is collective invoicing?
Collective invoicing allows you to add members to a membership collective. Membership fees for members in a collective are collected on a single invoice.
For example:
When an ‘organization’ is an employer, and the employer pays for its employees' membership in the association:
With collective invoicing, you can invoice the employer once for the membership of all members.
Setting up collective invoicing
You can set per member status whether members with this status can be invoiced collectively.
Go to ‘Settings > Membership statuses’
Select the membership status for which you want to enable collective billing
Set the membership fee to 'Collective'
Please note: if you do not see the ‘Collective’ option, collective invoicing is not enabled for your organization. Contact Congressus support to use collective invoicing.
Membership fee levels
You can set different membership fee levels. This allows you to create scales for collectives with multiple members.
For example:
Collectives with 1 to 25 members are invoiced with product X.
Collectives with 26 or more members are invoiced with product Y.
For each membership level, you can set whether the product is invoiced per member or for all members in total.
Creating a contribution collective
Every organization in your administration can be used as a contribution collective. To create a new contribution collective, add a new organization.
You can create the profile of the new organization based on the Chamber of Commerce registration.
Manage invoice details
In the profile of a new organization, you can set the address and email address to which the membership fee invoice will be sent. Here you can also enter a different reference to be used on the invoice.
Members in contribution collective
When an organization is set up as a contribution collective, we display an additional tab in the organization's profile showing the members within the contribution collective. Here you can also see at a glance when each member was last invoiced for their contribution.
Linking members to a contribution collective
You can link members to a contribution collective via the ‘Membership’ tab in a member's profile.
Creating membership invoices for a collective
Membership invoices for a collective can only be created from the new Congressus Manager interface.
Go to ‘Financial > Invoices’
Click on ‘New invoice > Create membership invoices’ in the top right corner
Follow the step-by-step plan
Congressus will now automatically understand that collective invoices must be processed differently than ‘normal’ invoices. All members within the collective are collected and added to a single invoice.
