Introduction: Communication

With 'Communication' you can see what and when communication has taken place between you and your members.

With Congressus you can send both emails and text messages to your members. Next to this Congressus automatically sends emails, for example, when a member signs up for an event or when someone signs up as a new member through your website.

Congressus differentiates between three types of communication

  1. Mailing

    Mailing are mails set up by the association to one or multiple members. You can send mails in bulk, but you can personalize these mails by using tags. Congressus automatically makes sure that every individual recipient receives a personalised mail, including personalized details.

  2. Transactional email

    In certain cases Congressus will automatically send emails. For example to send a confirmation email to a signup for an event, a purchase ina. webshop, when sending an invoice or when someone signs up as a member through your website. We call these automatic emails 'transactional emails'.

  3. Text message

    Next communicating through mail, it is also possible to send members text messages. These messages can be send with the association as the sender. You can also send text messages in bulk to one or multiple members. Het is however, not possible to personalize text messages. We do this in order to prevent messages from unintentionally becoming too long and bringing extra costs with them.

Overview of Communication

In 'Communication' in the main menu you get an overview of all send messages. In the overview you can filter on the communication type, date & time and if the message contains attachments.

View communication

From the the overview of communication you can click on a message to see its contents. We show the entire message, the receivers and statistics. If the message contains attachments we will show the attachments in a different tab in the top right.

Statistics

Beneath the contents of the message we show a couple of statistics, these are:

  • The total amount and percentage of recipients who have opened the message

  • The total amount and percentage of recipients to whom the message is sent (but have not opened the message)

  • The total amount and percentage of messages which are suppressed (for example because the message was marked as spam)

  • The total amount and percentage of messages where the sending failed (for example because of a wrong email address)

Overview of recipients

At the tab 'recipients' we show an overview of all the members the message has been send to. You can also immediately see the status of the message. This way you can instantly tell who has or has not opened the message and to whom the messaged has failed to sent.
