There are some things that even a Super Admin can't add or change in Congressus Manager, requiring assistance from the Support team. If you encounter any of the issues below, please send us a message via chat or call us at 050 211 0016 and we'll be happy to help!
1. Importing members
Do you want to transfer your membership database to Congressus? Great news! We're happy to take care of this for you. All you have to do is provide an Excel file in our standard format. We'll then ensure a quick and accurate import into your system.
2. Creating custom fields
Sometimes you want a little extra information from new members than is typically requested. For example, what program they are studying, whether they are interested in volunteering, or what size jersey they wear for team uniforms. Custom fields are ideal for this.
Custom fields are additional input fields that we add specifically for you to the "become a member online" form or to the member profile. We can add the following types of custom fields:
Text fields
Multiple choice questions
Chekboxes
Adding address information
For custom fields, we can create text fields, multiple choice questions, checkboxes, or address information. We can also add these fields in English.
What we need from you is simple: send us the exact question and indicate whether it is a multiple choice field or a checkbox, including the answer options. For example:

Question: Would you like to volunteer?
Answers: Yes / No
Example 2
Question: What program are you studying? Answers: Medicine / Law / Communication / Other
If you send this to us via chat, we'll get started. In most cases, the fields will be ready for you within one business day.
3. Bulk change preference/address/custom fields
It may be necessary to change the answers of a group of members simultaneously. This could be for newsletter preferences, a postal code change, gender changes, or other options.
You can do this manually, or you can provide us with an Excel file containing:
the names of the relevant members
the new answer that needs to be entered (e.g., if the current answer is "No" and you want to change it to "Yes," enter "Yes" in the column)
If necessary: different answers per person
Please ensure that the correct answers are assigned to the correct members.

4. Permanently deleting members
Congressus has built in an additional safeguard for permanently deleting members: only the support team can permanently delete members. As a board member, you can delete members yourself, but they will then be moved to a folder under "Archived Members" with the status "Former Member."
Members can be restored from this folder at any time.
If a member needs to be permanently deleted, for example, because their data retention period has expired, they have unsubscribed, or they were pre-registered members but didn't become permanent members, you can contact the support team.
Please include the following information in your message to the support team:
The exact number of members to be deleted,
The names of these members,
The membership status under which they are registered.
After confirmation, these members will be irreversibly deleted. Even the support team will not be able to restore this data afterward.
5. Password recovery
You can reset a member's password using the "Forgotten password" button on the login page. Please ensure you enter the email address associated with your member account. If you enter an incorrect email address, you will not receive a recovery email.
If you are still unable to recover after a few attempts and you do not see an email in your spam folder, please contact us via chat.
